Our ‘Occupier Solutions’ approach to MOS is a new cost-efficient perspective on managed accommodation provisioning

Our unique ‘Occupier Solutions’, is an all encompassing property concept that enables our clients to benefit from a range of integrated, flexible accommodation solutions.  By integrating space, infrastructure and support services (including FM and IT infrastructure) into a single operational contract it bridges the gap that often exists between what landlords are prepared to offer and what occupiers actually want.

This enables organisations to embrace an approach to property that is much more aligned with the dynamics of their business whilst simultaneously removing risk.

How it compares with traditional methods of acquiring and managing property?

Occupier Solutions can offer a cost effective alternative to traditional methods of property procurement. However an all-inclusive pricing model can sometimes be difficult for organisations to compare with more traditional property solutions as it is priced on an operational contract that includes all the factors of property acquisition and on-going management.

Portal investigated its price competitiveness by instructing industry authority Actium Consult to carry out a detailed benchmark cost analysis against the industry standard workstation as detailed in their Total Office Cost Survey.

Actium’s research revealed that the costs in all the examples considered of Portal’s workstation were lower than the equivalent TOCS standard. Furthermore they stated that their solution offers a high level of service at a competitive pre-agreed cost, saving the client the time and effort required to procure and then manage the service delivery.  Click here to read full report

What is included in the proposition?

Occupiers Solutions is a complete service. From sourcing a property at a location of your choice either from a new build, a property from our existing portfolio or a refurbishment of an existing facility we will deliver the accommodation fit for purpose. In addition we provide a blend of hard and soft FM services on an operational basis, inclusive of the expert knowledge and experience of seasoned professionals that will create measurable cost and operational efficiencies for your organisation. This service can be extended to include a total FM package that incorporates the procurement, deployment and on-going support of all your communications and IT requirements to Service Level Agreement (SLA).

How Occupier Solutions works


1. Planning and assessment

We work with our client to determine exactly what they need, where they need it and when they need it: our solutions are entirely geographically and building independent.  We will also factor in our client’s current situation and constraints and identify ways to lower potential barriers to moving, such as exit costs from their existing facility.

2. Acquire or build?

Depending on the planning outcome, the next decision is whether to acquire an existing facility and make it fit for purpose, or to commission a new build. In both cases we will remove the property acquisition headache by simplifying the supply chain and providing a single point of responsibility. We will take away all the issues such as negotiating the lease and the license for alterations.  Furthermore the terms we will offer will be more flexible and typically range from 1-5 years for a facility within our existing portfolio, from 3 years for an existing but non-portfolio building, and typically just 5-10 years for a build-to-order solution.


3. Implementation

Once acquired the facility will be fitted-out to the exact requirements demanded by our clients. We will agree and guarantee the initial delivery date (we have a 100% record in this regard) and possibly even contract a growth curve to full occupation to buffer the business from the full costs on Day 1.

4. Delivery 

On Day 1 the facility is delivered “ready-to-go”. We will ensure that everything is ‘live’ and available as agreed in the contract. Charging throughout is rentalised, including the fit-out, thereby removing capital burden appearing on the Profit & Loss rather than the Balance Sheet. In addition dedicated on-site support staff are provided to guarantee that service level delivery continues throughout the length of the contract, allowing our clients to concentrate on what is important – running their business.

5. On-going monitoring and support

Once the accommodation has been delivered we will then provide a fully managed solution to service levels agreed for the entire contract.

6. Clean exit

There are no exit costs, no legal fees, no dilapidations and most importantly no legacy that could hinder the continued development of their business. At the end of the contract our clients can simply walk away.
